- Select Source
Connect to your source system/file - Select Target
Connect to HubSpot and select your portal - Choose Path (Start Sample, or Customize the Migration)
Start with a quick sample using automappings, or go directly into customizing your migration - Select Objects
Choose which native or custom objects you'd like to migrate - Map Fields
Adjust our automappings and add in any additional mappings that you need - Match Records
If you already have data in HubSpot, choose the deduplication logic to use for the migration - Run Sample
Run as many free samples migrations as you'd like - Start Migration
Pay and start your full migration!
Tactical Rundown:
Install MigrateMyCRM
You can connect HubSpot to our platform in two ways:
- Directly on our platform: Navigate to migratemycrm.syncmatters.com and register for an account. Follow the prompts to connect HubSpot using oAuth or Files.
- Through HubSpot's Marketplace: Search for MigrateMyCRM, install the app, and follow the connection steps provided.
Note: If your source system is not automatically supported, we will need to complete a Custom Migration for you. This requires more involvement from our team, but we will handle the migration entirely. Please reach out to hello@syncmatters.com if this is the case.
1. Select Source
One you're registered on our platform, choose your source CRM from the list of supported systems and log in.
2. Select Target
Select HubSpot as your target CRM, log in, and select your portal.
3. Select Objects
Choose which CRM objects, both native and non-native, to migrate. You can map these objects from the source system to HubSpot.
- Our platform supports custom objects, and you can create a custom object in HubSpot and map it directly from the UI.
- Cross-object mappings are supported, so you can choose to migrate Emails to Notes, for example.
- You can also filter any objects on the available properties.

4. Map Fields
Map specific fields from your source system to HubSpot. This section is robust, but we're always available via chat/email to help if you get stuck. You will see a dropdown view of objects you selected to migrate and their respective fields within each object's view for review. Update any field mappings that are needed and resolve any issues.
- Custom fields can be created in bulk in HubSpot and automatically mapped in the interface using the Custom Fields button.
- Use the DNA icon to see 5 different examples of data in the field. You can continue to select this option to see an additional 5 options.
- Use the % icon to see the field utilization for each property.
- Make sure to map picklist values by clicking the dropdown arrow between sets of fields.
5. Match Records
Map users from your source system to HubSpot. HubSpot's API allows for user creation, so you can complete this in the UI.
Note: If you already have data in your HubSpot portal that you need match with, please reach out to our team via chat for help. This feature is relatively new in the UI, and we'd love to walk you through it.
6. Run Sample
You have two options:
- Select Records for Sample: This option will allow you to select up to 10 'main' entities for migration, which we'll try to include when we select records to migrate.
- Start Sample Migration: This starts a free sample migration of ~10% randomized records from your source CRM and migrating them into HubSpot.
Important Note: The sample migration will not migrate all relations. Due to the composition of a CRM, all records can be related, which means migrating your entire CRM isn't feasible for a free sample.
If needed, you can request SyncMatters to remove the migrated sample data with one click. Although, as soon as you start another sample or the full migration, we'll clear out the previously-migrated data.
7. Start Migration
When satisfied with all steps, purchase the full migration on the sample review page. Once your payment is processed, the full migration will start automatically. You'll receive an email notification once the migration is done.

Uninstall
To remove MigrateMyCRM from your HubSpot portal, navigate to Settings > Integrations > Connected Apps > MigrateMyCRM. From here, select Actions, and Uninstall.
Uninstalling the app will cause MigrateMyCRM to lose access to the HubSpot portal, but migrated data will be unaffected by this action.
Your stored data in MigrateMyCRM will automatically be deleted in 60 days per our security protocols.
